Terms of Service
Last updated: September 28, 2026
1. Acceptance of Terms
By accessing or using VivaPro ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use the Service.
2. Description of Service
VivaPro provides live meeting transcription, an AI copilot for interviews and other high-stakes calls, and practice tools. The Service is designed to help users prepare for, keep up with, and keep a record of the conversations that matter.
3. User Accounts
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must provide accurate and complete information when creating an account.
4. Acceptable Use
You agree not to misuse the Service. This includes but is not limited to:
- Recording conversations without the consent of all parties where required by law
- Using the Service for any unlawful purpose
- Attempting to gain unauthorized access to the Service or its systems
- Sharing your account credentials with third parties
5. Remote Assistance
Remote Assistance lets you invite another person to watch, and where you allow it take limited actions in, one of your VivaPro sessions. It exists for coaching, review and support: a mentor watching a practice run, a colleague following a meeting you are transcribing, or our support team diagnosing a problem you have reported.
What a helper can and cannot reach. Remote Assistance is not remote desktop. A helper receives only the data of the session you invited them to. They cannot see your screen, your files, your clipboard, your passwords, your other applications or anything else on your device, and there is no mechanism in the Service by which they could.
You stay in control. An invite expires shortly after it is created, works once, and connects nobody until you approve the named person. You can pause or end a helper's access at any moment, and access ends automatically when the session ends. Every connection, disconnection and permitted action is recorded in an audit trail you can read.
Where it is not available. Remote Assistance is not offered on a session you are running as a real interview. It is offered on practice sessions, on practice runs generated from a completed interview, and on any session that has already ended, so that it can be reviewed.
How a practice session is identified. Whether a session is a practice run is something you state when you create it. A practice session is assembled from the same components as any other and behaves identically, so the Service cannot verify the statement and does not attempt to. Marking a real interview as a practice run in order to obtain Remote Assistance on it is a breach of these Terms, and may also breach the rules of the organisation interviewing you.
Your responsibilities. You are responsible for who you invite and for the consequences of what they see or do. You agree not to use Remote Assistance to deceive any person or organisation about who is taking part in a conversation, to obtain or provide assistance in an examination, assessment, certification or interview where that assistance is not permitted, to impersonate or allow another person to impersonate you, or to circumvent the rules of any assessment or the policies of any third party. Where a conversation involves people who have not agreed to a further participant, obtaining their consent is your responsibility, and in some jurisdictions it is a legal requirement.
Consequences of misuse. We may suspend or terminate access to Remote Assistance, or to your account, where we believe it has been used in breach of this section. Subject to Section 9 and to any liability that cannot be excluded by law, VivaPro is not responsible for your use or misuse of Remote Assistance, for the acts or omissions of any person you invite, or for any loss you or a third party suffer as a result. Nothing in this paragraph limits any right or remedy of a person who was not party to these Terms, and no term of this agreement can authorise conduct that is unlawful.
6. Intellectual Property
The Service and its original content, features, and functionality are owned by VivaPro and are protected by international copyright, trademark, and other intellectual property laws. Your transcriptions and uploaded content remain your property.
7. Privacy & Data
Your use of the Service is also governed by our data handling practices. We process audio recordings and transcriptions to provide the Service. We do not sell your personal data to third parties.
8. Disclaimer of Warranties
The Service is provided "as is" without warranties of any kind, either express or implied. VivaPro does not guarantee uninterrupted or error-free operation of the Service.
9. Limitation of Liability
VivaPro shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the Service.
10. Changes to Terms
We reserve the right to modify these terms at any time. We will notify users of significant changes via the Service. Continued use after changes constitutes acceptance of the updated terms.
